About the Opportunity
This position is offered through the Canada Summer Jobs program and is a great opportunity for students or youth looking to gain hands-on experience in a professional, team-based environment.
You will be the first point of contact for citizens, responding to telephone, in-person, and electronic inquiries, and providing clear information on eligibility, required documents, and application processes.
The role includes supporting data entry, maintaining accurate digital and paper records, and updating program spreadsheets and tracking systems to ensure reliable reporting. You will coordinate appointments, monitor shared inboxes, and assist with follow-ups to ensure timely responses to citizen requests.
You will also support administrative functions such as preparing meeting materials, assisting with budget and invoice processes, and maintaining an organized office environment, including managing supplies and program documents. The position involves assisting citizens with completing applications, supporting outreach activities, and collaborating with other MNBC ministries to provide wrap-around services.
This role offers valuable, practical experience for those interested in community service delivery within the Poverty Reduction Program, or administrative careers.
As per Canada Summer Jobs program requirements, candidates must be:
- Between 15 and 30 years of age (inclusive) at start of employment
- A Canadian Citizen, permanent resident, or a person on whom refugee protection has been conferred under the Immigration and Refugee Protection Act
- Legally entitled to work according to BC legislation and regulation.
- International students are not eligible. Recent immigrants are eligible if they are Canadian Citizens or permanent residents.
Job Duties
- Respond to telephone, in-person, and electronic inquiries or direct them to the appropriate contact
- Provide information on eligibility criteria, required documents, and application steps for Poverty Reduction programs
- Assist citizens in completing applications by offering guidance and clarifying program requirements
- Perform basic bookkeeping tasks, including preparing purchase orders and cheque requisitions
- Photocopy, compile, and distribute documents for mailing, filing, and internal use
- Sort, process, and verify receipts, expenditures, forms, and other administrative documents
- Support data entry, filing, and maintenance of accurate digital and paper records
- Update program spreadsheets and tracking systems to support reporting and program monitoring
- Coordinate scheduling of in-person, virtual, and phone appointments with Ministry staff
- Monitor shared inboxes and ensure timely follow-up on requests
- Assist with administrative processes, including budget compilation, meeting preparation, and invoice/contract support
- Maintain organized office systems, including ordering supplies and managing program materials
- Support community outreach by preparing materials for events, workshops, and information sessions
- Collaborate with other MNBC ministries (Youth, Elders, Children & Family) to support integrated service delivery
- Develop and update internal resources such as guides, checklists, and templates
- Identify and suggest workflow improvements (e.g., intake processes, file organization, risk mitigation practices)
- Use and adapt to various technologies (e.g., Word, Excel, databases, and other software)
- Handle sensitive information with confidentiality
- Collaborate effectively in an office and team environment (experience considered an asset)
Education
- College diploma/University degree in related field.
